World Health Organization (WHO) is currently seeking applications from the eligible applicants for the post of Administrative Assistant in Washington D.C., United States. The duration of this post is 2 years.

The primary role of WHO is to direct and coordinate international health within the United Nations system.

Key Jobs Responsibilities

The Administrative Assistant will perform the following functions-

  • Coordinate the administrative service of the Unit, distributing special assignment to other administrative support staff; brief and train new staff on administrative procedure and practice and give guidance, as required.
  • Review all incoming correspondence which require action by the Unit Chief; identify urgent matter, and ensure that these are handled expeditiously, determining which can be answered by specific Office personnel; gather necessary background documentation for correspondence requiring action; make recommendation regarding the appropriate action to be taken; monitor that deadline for response are met; follow up with various personnel in the Office for the submission of report and formulation of correspondence.
  • Assist in the preparation of technical presentation, technical report and article by reviewing, correcting and rewriting text to improve clarity, conciseness and, coherence; prepare and verify the content of table, graph, and chart; follow-up on the submission of report and correspondence in order to meet established deadline.
  • Serve as liaison regarding logistical and operational process and activity, as well as with other office throughout the Organization; communicate procedure to be followed for meeting of Governing Body, Advisory Committy, etc.
  • Prepare correspondence on own initiative or from verbal instruction for signature; prepare draft translation of correspondence and other materias from English into Spanish and vice versa.

Eligibility Criteria

Applicants must have-

  • High school diploma with formal training in the commercial or administrative fields.
  • 5 years of administrative work experience.
  • Ability to plan, organize, coordinate and carry out administrative processes such as: meetings, recruitment of staff, personnel matters, preparation of formal publications, budget and expenditures records, acquisition of supplies.
  • Very good knowledge of English and Spanish.
