United Nations Office for Project Services (UNOPS) is currently seeking applications from the eligible applicants for the post of Associate Support Services Officer in Bogota, Colombia. The duration of this post is 2 months.
The Associate Support Services Officer will be responsible for timely and efficient delivery of programme support.
UNOPS mission is to serve people in need by expanding the ability of the United Nations, governments and other partners to manage projects, infrastructure and procurement in a sustainable and efficient manner.
Key Jobs Responsibilities
The Associate Support Services Officer will perform the following functions-
- Full compliance of procurement activities within UNOPS rules, regulations and policies.
- Develop and maintain the procurement plan for all programme procurement including, but not limited to, invitations to Bid (ITB), Request for Proposals (RFP), Request for Quotations (RFQ), Shopping and other bidding documents calling for the supply of goods and services on competitive basis.
- Coordinate procurement activity on all requisitions.
- Prepare all procurement documents including expression of interest, pre-qualification, solicitation, evaluation, HQCPC submissions, request for award and contracts.
- Manage Operational Advances and Petty Cash including making requests, educating the custodians, coordinating surprise checks, monthly audits, reviewing reconciliations, coordinating replenishments and closing accounts.
- Complete monthly cash flows for all projects and assist the PM in developing recommendations for projected under/overspend.
- Assist in the preparation of Budgets and budget amendments.
- Assist the PSC Portfolio Team in maintaining effective financial management, monitoring and control systems in accordance with UNOPS/UN Financial Rules and Regulations.
- Monitor the processing of personnel payments for salaries.
- Monitor the monthly attendance of personnel, update the leave/mission plans and submit quarterly travel plans.
- Assist with the coordination of travel processing and payments.
- Monitor the information management for personnel files, travel files and travel register.
Eligibility Criteria
Applicants must have-
- Advanced university degree (Master’s degree or equivalent) in Project Management, Business Administration, International Relations, Political/Security/Development Studies, Procurement, Finance, Human Resources, Logistics or other relevant discipline with at least 2 years of related working experience.
- First level university degree (Bachelor degree or equivalent) with 4 years of experience could be accepted in lieu of the advance degree.
- 2 years of progressive experience in one or more of the following areas is required: project/programme management, administrative and financial management, human resources, procurement and/or logistics.
- 1 year of experience in mine action in Colombia is an asset.
- Experience working in a UN Mine Action Programme is an advantage.
- Knowledge of the mine action institutionality and key stakeholders is an asset.
- Knowledge of mine action programmes in other countries is desired.
- Knowledge of UNOPS rules and regulations is highly desirable.
- Working knowledge of English (Intermediate in speaking, fluent in reading and writing) is required.
- Fluency in Spanish (speaking, reading and writing) is required.
