World Health Organization (WHO) is currently seeking applications from the eligible applicants for the post of Administrative Assistant in Brazzaville, Congo. The duration of this post is 2 years.
The primary role of WHO is to direct and coordinate international health within the United Nations system.
Key Job Responsibilities
The Administrative Assistant will perform the following functions:
- Receive, screen, log and route Unit’s correspondences and maintain follow-up system.
- Oversee and monitor the information flow of the office of the Director, ORD ensure effective and timely follow up on requests for information, briefings and other actions emanating from the office of the Director, ORD, liaising with units/teams, as appropriate.
- Draft general or administrative correspondence on own initiative or on the basis of instructions finalize correspondence/reports for signature/clearance.
- Use appropriate tracking tools, follow-up on and ensure that deadlines for correspondences are met, and that queries are responded to in a timely manner.
- Prepare meeting folders and ensure adequate briefings including relevant materials are available for ORD’s travels and meetings.
- Support meetings arrangements including visits to the Director.
- Contribute to the preparation of internal and external meetings organized by the Director, Office of the Regional Director.
- Use GSM, prepare travel requests for official WHO travel.
- Make flight and hotel reservations, prepare travel files and deal with other related matters as requested or on own initiative.
Eligibility Criteria
Applicants must have:
- Completion of secondary school education or its equivalent in technical or commercial education.
- Training in administrative and secretarial skills and/or an administrative field.
- Minimum 8 year’s experience in providing administrative support in an international organisation setting.
- Experience working in WHO would be an asset.
- Thorough knowledge of secretarial skills including proven typing ability;
- Expert knowledge of English.
- Intermediate knowledge of French.
