Key Jobs Responsibilities

The Administrative Officer will perform the following functions-

  • Manage the time of the CEO including establishing/arranging appointments, maintaining CEO’s calendar, receiving and directing visitors, placing and screening calls and answering queries, making contacts with embassies, UN agencies, international institutions, government offices, stakeholders, partners, etc.
  • Collaborate with UNOPS dedicated Portfolio Management Team to obtain all necessary administrative services for CEO and other officials of the Secretariat.
  • Facilitate timely flow of documents/communication/messages to and from the CEO.
  • Establish and maintain a document/work assignment tracking system including receiving, screening, logging and routing as well as maintaining a system for follow-up and retrieval.
  • Maintain policy, confidential and general management files including all correspondences.
  • Maintain chronological files on all outgoing and incoming correspondences.

Applicants must have-

  • University degree (masters) or undergraduate degree (Bachelor’s) in International Relations, Business Administration, Public Administration, Social Sciences or related field is required.
  • With master’s degree, 5 years or undergraduate (bachelor’s) degree, minimum 7 years of relevant experience, preferably of working in the Executive Office setting of a United Nations agency or International Organisation, and directly in support of the Chief Executive and Senior Management Team.
  • Proficiency in Microsoft Office Excel, Outlook, PowerPoint, and Word applications required.
  • Ability to establish a high level of trust and confidentiality internally, and credibility externally.
  • Proactive and ability to anticipate the needs of the Chief Executive while working autonomously in a fast paced, highly matrixed Partnership.
  • Good communications and interpersonal skills are essential.
  • Fluency in oral and written English is required.
