International Finance Corporation (IFC) is currently seeking applications from the eligible applicants for the post of Team Assistant in Tokyo, Japan.
The Team Assistant will provide administrative support to its operation.
IFC’s mission is to end extreme poverty by 2030 and boost shared prosperity in every developing country.
Key Jobs Responsibilities
The Team Assistant will perform the following functions-
- Assist administrative and logistic duties, including travel arrangements, filing and archiving, scanning, photocopying and printing, management of office supplies, and handing mails/diplomatic pouch.
- Provide logistical assistance and support to visiting missions.
- Respond and handle a wide-range of extensive and diverse inquiries, prioritizing and making decisions when multiple courses of action are possible, prepare correspondence on a range of topics and direct queries appropriate for follow up by senior staff in the department.
- Provide administrative support to organize events and conferences held in Japan.
- Manage and update Japanese corporate and Tokyo Office websites in web content management systems.
- Review translated IFC promotional materials & press releases and disseminate to clients including inventory management.
- Provide back-up assistance to other Assistants in administrative, logistic functions and accounting related work.
- Undertake ad hoc duties that may be assigned by other staff.
Eligibility Criteria
Applicants must have-
- Bachelor Degree with a minimum of 2 years of relevant experience.
- Excellent office support and organizational skills and ability to prioritize and deliver assignments in a timely manner, often under severe time pressure.
- Basic knowledge and understanding of IFC’s administrative/operational procedures is a plus.
- Strong interpersonal and communication skills (written and oral) in English and Japanese.
- Strong and proven experience using Outlook, Excel, PowerPoint, Word, web content management systems.
