World Food Programme (WFP) is currently seeking applications from eligible applicants for the post of Logistics Associate in Nairobi, Kenya.

Key Jobs Responsibilities

The Logistics Associate will perform the following functions:

  • Assist in preparation of quotations, invoices and other required documents.
  • Receive and verify contractors’ invoices and ensure that all supporting documents are attached, and calculations are accurate.
  • Raise WINGS Service Entry Sheets as required.
  • Collect supporting documents required to raise WINGS purchase orders.
  • Run the TPA related WINGS reports on fund consumption and provide preliminary analysis.
  • Maintain records on utilization of inter-agency funds using approved formats.
  • Monitor and report on food and non-food stocks in operation’s warehouses and prepare weekly stock reports.
  • Follow the movement of food and non-food items for the projects and operations in all locations.
  • Provide day-to-day reports on the progress and movements of WFP shipments.
  • Coordinate and manage deliveries by suppliers, clearing agents and WFP warehouses; monitor and assess quality, quantity and safety of the goods.
  • Respond to queries regarding inter-agency cargo and funds to staff in the unit and elsewhere in the Programme.
  • Prepare a variety of reports as required.
  • Maintain filing systems and archiving procedures for swift and easy retrieval of information.
  • Monitor on-going shipments, pipeline information, insurance claims etc.
  • Share knowledge and experience with other staff members and work to foster a team spirit.
  • Perform other related duties as required.

Eligibility Criteria

Applicants must have:

  • Completion of secondary school education.
  • A post-secondary certificate in the related functional area is desirable.
  • At least 5 year’s experience in one or more of the logistics and ancillary sectors; port operations, shipping, clearing and forwarding, large scale road/rail transport and distribution management.
  • Experience in preparing and monitoring of budgets/resource plans/pipelines/supply chains.
  • Fluency in both oral and written communication in English is a requirement.
  • Experience in maintaining corporate systems and running queries on ongoing shipments, pipeline information, insurance claims, and food stocks.
  • Experience in analyzing data (on commodities, funds) and drafting reports.
  • Experience in measuring service provider’s performance against set KPIs.
  • Experience in compiling contract documentation.
  • Experience in providing technical business support in corporate systems.
  • Nationality of Kenya.
