Asian Development Bank (ADB) is currently seeking applications from the eligible applicants for the post of Senior Procurement Assistant in Manila, Philippines.
The Senior Procurement Assistant will maintain confidential records of the division and provide administrative and coordination support to Director, Procurement Division 2.
The ADB aims for an Asia and Pacific free from poverty.
Key Jobs Responsibilities
The Senior Procurement Assistant will perform the following functions-
- Organizes appointments and meetings of the Director.
- Coordinates activities for the assigned work unit with specific responsibilities in composing and sending out routine correspondence, as well as drafting correspondence on more complex issues in accordance with supervisor’s instruction.
- Follows up all the documents circulated for comments by all specialists, and ensures that Division’s comments are provided on time.
- Handles telephone calls, takes messages, replies to queries from callers and visitors and ensures that the needs of unexpected visitors are handled appropriately.
- Coordinates, maintains, updates records of the Division’s mission, leave schedule and work assignments, and identifies conflict of schedule and resolve problems that may arise.
- Generates/prepares leave status report for distribution to concerned staff from the mainframe.
- Monitors staff daily attendance and submits weekly attendance report.
- Verifies/monitors applications for overtime.
- Monitors and maintains the flow of documents and update the Department’s Document Logbook on Lotus Notes.
- Maintains records of review comments by the Director on all documents circulated (e.g. Policy Papers, action plans, procurement and consulting services issues, back-to-office reports, etc.).
- Keeps all correspondence and documents of the Director prepared in accordance with ADB standards, and handled promptly.
- Records minutes of division meetings and Technical Review meetings.
- Maintains up-to-date organization chart for the Division.
Eligibility Criteria
Applicants must have-
- Bachelor’s degree Major in Business Administration, Accounting or other relevant discipline.
- 5 years of relevant professional experience.
- Proficient in spreadsheets and required information technologies.
- Effective report-writing and communication skills in English and the national language (as required).
