The Program Assistant will be responsible for carrying out a full range of office support work as part of a team to meet the ongoing and/or evolving business needs of the unit.

The Program Assistant will perform the following functions-

  • Schedule appointments for the Ombuds including confidential visitor meetings and meetings with Senior Management.
  • Support the coordination of schedules for the three Ombuds, including identifying options for enhancing scheduling efficiency.
  • Receive visitors approaching the OMB office, assure a calm and professional climate for visitors contacting the office and ensuring that visitor engagement and all information related to visitors are handled with highest level of security and confidentiality in line with unit and IOA standards.
  • Administer the unit’s confidential and specialized database; inputting and retrieving data from confidential databases in a manner consistent with high standards of confidentiality of the unit and of the IOA and ensuring that scheduling and database activities, and quality assurance.
  • Organize and compile data to prepare standard tables and charts. Undertaking ad hoc inquiries in unit and institutional databases. Maintains highest level of security and confidentiality of all information.
  • Prepare travel arrangements for missions, training and conferences.
  • Administer procurement and transaction processes; serving as TRS, LARS, and/or OT coordinator.
  • Provide back up support as needed to other ACS in the unit.
  • Plan major events, conferences, including RWA training preparation and logistics.
  • Monitor task budget for specific projects.
  • Prepare or contribute to multi-year business planning reports, quarterly and mid-year review and year-end exercises.
  • Prepare and edit communications and correspondence such as consultancy TORs and the OMB RWA Annual Report; provides input to the unit’s printed literature and presentations. Maintaining accurate content of unit’s document filing systems.
  • Prepare staff meeting minutes for circulation and filing.
  • Coordinate with other Bank Group units including the Internal Justice colleagues and external counterparts; participating in working groups and meetings of Internal Justice offices.
  • Assume any other administrative duties as required to support the needs of the OMB and RWA Programs.

  • High School Diploma.
  • Bachelor’s Degree desirable.
  • Minimum 5 years of work experience, including ideally at least 2 years of WBG experience.
  • A good basic understanding of business processes, systems and associated software solutions necessary to analyze business processes and systems, recommend improvements, and implement.
  • Experience in identifying data sources, interpreting data, visualizing data, and using data for problem solving and identification of trends.
  • Excellent judgment, tact and a high level of discretion in dealing with confidential and sensitive matters.
  • Effective time management and administrative skills, with ability to adapt to changing business needs, and willingness to learn new skills and can take on additional responsibilities.
  • Strong interpersonal skills and respect for different points of view in a multi-cultural environment.
  • Dedicated team player with excellent organizational skills, ability to prioritize assignments when working on multiple assignments, and to deliver high-quality work under pressure and tight deadlines, with minimum supervision.
